Job Scheduling Overview
Effective job scheduling is the backbone of any field service business. Ormi's job board helps you manage everything from the initial customer call to job completion and invoicing.
Creating Jobs
From the Job Board
- Click New Job in the top-right of the job board
- Select or create a customer
- Choose job type and priority
- Set date, time, and estimated duration
- Assign to a technician
- Add service address and notes
- Click Create Job
From Customer Records
- Open a customer's profile
- Click New Job in the customer actions menu
- The customer information is pre-filled
- Complete the job details and save
Quick Job Creation
For urgent or simple jobs:
- Use the Quick Add button on the job board
- Enter customer name and phone (creates customer if needed)
- Set date, time, and basic job description
- Create immediately—you can add details later
Job Status Workflow
Ormi uses a simple status workflow:
- Scheduled: Job is booked but not started
- In Progress: Technician has started work
- Completed: Work is finished, ready for invoicing
- On Hold: Job is paused (waiting for parts, customer approval, etc.)
- Cancelled: Job will not be completed
Updating Job Status
- From the job board: Click the status badge and select new status
- From job details: Use the status dropdown at the top
- Mobile app: Technicians can update status from the field
Assigning Technicians
Single Technician Assignment
- Open the job
- Click Assign next to the technician field
- Select a technician from your team
- They'll receive a notification (if enabled)
Multiple Technicians
For larger jobs requiring multiple technicians:
- Open the job
- Click Add Technician to assign additional team members
- Set primary technician (main contact)
- All assigned technicians can update job status and add notes
Job Board Views
Calendar View
- See all jobs in a calendar format
- Drag and drop to reschedule
- Color-coded by job type or status
- Filter by technician, customer, or job type
List View
- Chronological list of all jobs
- Sort by date, status, priority, or technician
- Quick actions: edit, duplicate, or delete
- Search and filter options
Map View
- Visual representation of job locations
- Optimize routes for technicians
- See service area coverage
- Plan efficient daily routes
Job Templates
Save time by creating job templates for common work:
- Go to Settings → Job Templates
- Click New Template
- Set default job type, duration, and line items
- Add standard notes or instructions
- Save template
When creating a job, select a template to auto-fill common information.
Managing Job Notes
Internal Notes
- Visible only to your team
- Use for technician instructions, special requirements, or internal reminders
- Add photos, documents, or links
Customer-Facing Notes
- Visible to customers in their portal
- Use for appointment confirmations, arrival times, or work summaries
- Automatically included in job communications
Job Photos and Documents
Adding Photos
- Open the job
- Click Add Photo
- Upload from computer or take with mobile app
- Categorize: Before, During, After, Equipment, Damage, Other
- Add captions or descriptions
Document Management
- Upload work orders, permits, or customer documents
- Attach estimates or quotes
- Link to external files or cloud storage
Multi-Day Projects
For jobs spanning multiple days:
- Create the initial job
- Set the start date
- Add estimated completion date
- Use Project Mode to track progress across days
- Update status daily
- Create invoice when project is complete
Job Priorities
Set priorities to help with scheduling:
- Urgent: Emergency calls, same-day service
- High: Important customers, time-sensitive work
- Normal: Standard service calls
- Low: Maintenance, non-urgent repairs
Priority jobs appear at the top of the job board and can trigger notifications.
Customer Communication
Automated Updates
Ormi can automatically send:
- Job confirmation emails
- Technician arrival notifications
- Job completion summaries
- Invoice reminders
Manual Communication
- Send custom messages from the job page
- Include photos or documents
- Track all communication in the job history
Best Practices
- Schedule in advance: Book jobs as soon as they're confirmed
- Use templates: Save time with job templates for common work
- Update status regularly: Keep job status current for accurate reporting
- Add notes immediately: Document important details while they're fresh
- Review daily: Check the job board each morning to plan the day
